Privacy policy

This Privacy Policy explains how Audio Bass, operated by AUDIO BASS LTD ("Audio Bass", "we", "us" or "our"), collects, uses, stores and shares personal information when you visit audiobass.co.uk (the "Site"), place an order, contact us or interact with our services. Personal information means information that identifies you or can reasonably be linked to you.

Our store supplies customers in the United Kingdom. This policy covers our handling of personal information, including information about visitors who do not make a purchase. It should be read alongside our Terms of Service, Shipping Policy and Return & Refund Policy. Visiting the Site or reading this policy does not, by itself, constitute consent to optional tracking or marketing.

1. Who is responsible for your information?

AUDIO BASS LTD is the controller of personal information used to operate the Audio Bass store, manage customer relationships and carry out the activities described in this policy. We are a company registered in England and Wales, company number 16772805, with our registered office at 5 Brayford Square, London, United Kingdom, E1 0SG.

For privacy questions, requests or complaints, email support@audiobass.co.uk. You can also contact us by telephone or post using the details at the end of this policy. Please identify your message as a privacy enquiry so that we can direct it appropriately.

2. Personal information we collect

Device, browsing and technical information

When you use the Site, our store platform and relevant service providers receive technical information needed to deliver and protect the service. Depending on the feature used and your privacy choices, this can include your IP address, browser type and version, device and operating system, time zone, approximate location inferred from your IP address, referring pages, page addresses, cookie or similar identifiers, and the date and time of visits.

Browsing information can include products or pages viewed, searches, basket activity, interactions with links and advertisements, and checkout or purchase events. Essential service logs support security and troubleshooting. Optional analytics and advertising technologies are subject to the consent requirements explained below.

Order, delivery and payment information

When you place an order or begin checkout, we collect information such as your name, billing and delivery addresses, email address, telephone number where provided or required for delivery, products selected, order value, delivery instructions, transaction references and payment status. We also keep records of dispatch, delivery enquiries, cancellations, returns, refunds and exchanges.

Payment providers collect the payment details needed for the method you select. The information available to us normally includes transaction results and limited payment identifiers rather than your complete card details. Please see Section 7 for more information.

Account and preference information

If you use customer account features, subscribe to updates or save preferences, we receive the details needed for those functions. These may include your contact details, order history, account identifiers, communication preferences, and records of consent or withdrawal. The information collected depends on the features you choose to use.

Customer support and correspondence

If you contact us, we collect your contact details, order number where relevant, the content of your enquiry and our correspondence. For delivery or product issues, this may include tracking details, a description of the problem, and photographs or other evidence you choose to provide. We use this information to investigate, answer your enquiry and arrange an appropriate resolution.

Please provide only information relevant to your request. Do not send passwords, full payment card numbers, card security codes, unnecessary identity documents or sensitive personal information through ordinary email or a contact form.

3. Where information comes from

  • Directly from you: when you order, complete a form, contact us, manage an account or select communication and privacy preferences.
  • Automatically through the Site: through server logs, cookies, pixels, tags and similar technologies, subject to applicable consent requirements.
  • From service providers: for example, payment confirmation or fraud indicators from payment services, order information from Shopify, and delivery updates from fulfilment or delivery providers.
  • From marketing interactions: where applicable, information about an advertisement or campaign that led to a visit or purchase, subject to the choices and lawful basis relevant to that activity.

If you provide another person's details, such as a gift recipient's name and delivery address, please ensure you are entitled to do so and make this policy available to them. We use those details for the relevant order and delivery, rather than automatically enrolling the recipient in marketing.

4. How we use information and our lawful bases

We use personal information for specific purposes and rely on an appropriate lawful basis under UK data protection law. Different activities involving the same order may have different bases.

  • Contract and steps requested before a contract: to answer purchase enquiries, process orders and payments, arrange delivery, send order updates and administer contractual returns, refunds or exchanges.
  • Legal obligations: to maintain required accounting and tax records, meet consumer protection duties, respond to valid legal requirements and comply with applicable data protection obligations.
  • Legitimate interests: to operate and protect our business, prevent fraud, investigate payment disputes, manage customer enquiries, maintain service reliability and establish or defend legal claims. We consider the necessity of the processing and its effect on your rights before relying on this basis.
  • Consent: for optional cookies and similar technologies where required, and for marketing communications where consent is required. You can withdraw consent without affecting the lawfulness of earlier processing.

Our legitimate interests include keeping the store secure, resolving customer problems and understanding service issues. They do not remove any separate requirement to obtain consent for tracking or electronic marketing. We use anonymous or aggregated information where it meets the purpose without identifying individuals.

Some information is necessary to complete a purchase or comply with the law. If you do not provide the delivery or payment information needed for your order, we may be unable to fulfil it. Optional marketing consent is not a condition of purchasing from us.

5. When we share personal information

We share relevant information with the organisations needed to provide our services or carry out another lawful purpose. Recipient categories include:

  • Store technology providers: Shopify and providers supporting hosting, checkout, customer accounts, essential integrations and store administration.
  • Payment and fraud prevention providers: to authorise transactions, manage refunds, identify suspicious activity and resolve payment disputes.
  • Fulfilment and delivery providers: to prepare, dispatch and deliver orders, provide tracking and handle delivery or return enquiries. This normally involves the recipient's name, delivery address, relevant contact details and order information.
  • Support and communications providers: to manage customer correspondence, service messages and, where permitted, marketing subscriptions.
  • Analytics and advertising providers: where those tools are used, subject to the applicable lawful basis, consent and privacy choices described in this policy.
  • Professional advisers and authorities: accountants, legal advisers, insurers, regulators, courts or law enforcement where disclosure is necessary and lawful.

We limit disclosures to information relevant to the purpose. Providers acting on our behalf must handle information under appropriate instructions and contractual protections. Some recipients, including certain payment providers, act as independent controllers for their own legal or service purposes.

If our business is involved in a proposed sale, restructuring or similar transaction, relevant information may be disclosed to advisers and prospective or actual successors, with appropriate confidentiality and data protection safeguards. We will provide any further notice required by law.

6. Shopify and connected services

Our online store is hosted on Shopify. Shopify processes information to provide the commerce platform and related services supporting our store. For information about Shopify's practices, visit the Shopify Privacy Policy.

Shopify may also process information as an independent controller for certain services and purposes described in its own notices. If you choose a Shopify consumer service, such as Shop or an accelerated checkout option, its applicable privacy notice also governs that service. See Shopify's Consumer Privacy Policy and Shopify's Privacy Portal for relevant information and choices.

Where Shopify enhanced services or network-based features are enabled, information about interactions with the store may be used for the additional purposes explained in the applicable notices and controls. Any such use remains subject to applicable consent, objection and opt-out requirements. Contact us about information controlled by Audio Bass; Shopify's privacy channels can assist with information it controls independently.

7. Payments and transaction security

Payments are handled through the checkout and the payment providers available when you order. Those providers process payment credentials and related security information under their own terms and privacy notices. We use transaction confirmations and the information needed to administer orders, refunds, fraud checks and accounting.

We do not ask you to send complete card details by email. If a payment or identity check is necessary, we will explain the relevant request and use an appropriate method. You may verify a request by contacting us through the details published in this policy.

8. Marketing messages and your choices

We may send product news or offers where you have requested them, or where an applicable legal permission allows us to contact an existing customer about our own similar products with an appropriate opt-out. We will obtain consent wherever it is required and keep records of relevant preferences.

You can unsubscribe using the link in a marketing email or contact support@audiobass.co.uk. If marketing is offered through another channel, the message will explain the available opt-out method. We do not require an account or a purchase to unsubscribe.

We may keep a limited suppression record to respect your request and avoid adding you back to marketing lists. Essential order, delivery, refund, security and service messages may still be sent where necessary; they are separate from promotional subscriptions.

9. Behavioural advertising and profiling

Where enabled and permitted by your choices, analytics and advertising tools can help us measure campaigns, understand product interest and show relevant advertisements on other services. These tools may process online identifiers, IP addresses, device information, referral information, pages or products viewed, basket activity and purchase events.

Information may be shared through browser-based pixels, tags or cookies and, where configured, through server-side integrations. Some advertising services can use contact identifiers to match events to an account. If identifiers are hashed before matching, they may still be personal information; hashing does not necessarily make them anonymous.

Advertising partners may combine information received from the Site with information from your interactions with their own services, according to their privacy notices and the permissions that apply. Optional advertising tracking requires the applicable consent before it is used. We do not treat purchasing a product as consent to unrelated advertising uses.

You can withdraw optional advertising consent through the relevant privacy controls and object to our use of personal information for direct marketing by contacting us. Advertising platforms may also provide account or device controls for personalised advertisements. Disabling personalisation does not necessarily remove all advertisements. Cookie choices may need to be repeated on a different browser or device.

10. Cookies and similar technologies

Cookies are small files stored on a device. Similar technologies include pixels, local storage and tags that can store information or recognise a browser. They support different functions:

  • Strictly necessary technologies: to operate services you request, such as basket and checkout functions, authentication and relevant security protections.
  • Preference and functionality technologies: to remember choices and support optional features. Consent is required where the technology does not qualify for a legal exception.
  • Analytics technologies: to understand visits, navigation and store performance, subject to consent where required.
  • Advertising and social content technologies: to measure campaigns, support relevant advertising or load certain third-party content, subject to applicable consent requirements.

A technology is not exempt from consent merely because it is labelled "functional" or "analytics". Where consent is required, it must be obtained before the technology is used. Refusing optional tracking should not prevent you from purchasing through the store.

11. Shopify cookie examples and durations

The following are examples from Shopify's published merchant-store cookie information. Which cookies are set depends on the features used and your choices; this table is not an exhaustive inventory of every app or third-party technology. Shopify and app providers may change their identifiers or durations.

Examples of Shopify storefront cookies
Cookie Purpose Published duration
_shopify_essential Core session, checkout and integrity functions. 1 year
_shopify_test Checks whether the browser supports cookies. 1 minute
cart Retains basket information. 2 weeks
cart_currency Retains the currency for a subsequent basket. 2 weeks
discount_code Remembers a discount supplied through a link. Session
localization Supports the basket's country setting. 1 year
_shopify_analytics Supports storefront and checkout measurement. 1 year
_shopify_marketing Supports marketing-related store functions. 1 year

For current provider information, see the Shopify Cookie Policy. A published duration is not a guarantee that a cookie remains on your device for that entire time: you can delete it, and some identifiers may be refreshed when the relevant service is used.

12. Managing cookies and browser signals

You can use the cookie or privacy controls presented on the Site to make the choices available for optional purposes. Where consent is required, the choices must allow refusal as well as acceptance, and withdrawal must be as easy as giving consent. If a control is unavailable or you cannot change a preference, contact us so that we can investigate.

Your browser also allows you to inspect, block or delete cookies. Refer to its privacy or help settings. Blocking essential cookies can affect basket, login and checkout functions. Session cookies usually end with the browser session; persistent cookies remain until expiry or deletion, subject to browser behaviour.

Deleting a cookie does not necessarily withdraw an existing marketing subscription or prevent every server-side disclosure. Use the relevant consent, unsubscribe or objection method for the activity concerned. We respect browser-based opt-out signals where the law requires them, including Global Privacy Control where applicable. A general "Do Not Track" setting is not, by itself, a substitute for all available consent or rights requests.

13. How long we keep information

We retain personal information only for as long as needed for the purposes described in this policy, including legal obligations and the handling of disputes. We consider the information's sensitivity, the reason for holding it, applicable limitation periods and whether the purpose can be achieved with less information.

  • Orders and accounting: records needed for company accounts and tax are generally retained for six years from the end of the relevant company financial year, and longer where a specific legal requirement or unresolved investigation requires it.
  • Customer service, returns and disputes: retained while the matter is active and for an appropriate subsequent period needed to demonstrate the outcome, meet legal duties or handle related claims.
  • Accounts: retained while needed to provide the account and associated services. Closing an account does not automatically remove records we must keep for other lawful purposes.
  • Marketing preferences: used while the subscription or other lawful permission continues. Limited unsubscribe and consent records may be kept to demonstrate compliance and respect your choices.
  • Technical logs and tracking data: retained according to their security or measurement purpose, the relevant service settings and applicable limits. Cookie lifetimes are separate from the retention of information already received by a provider.

When information is no longer needed, we delete it or make it anonymous using appropriate methods. Backup copies may remain until their normal replacement cycle, with access restricted and without being brought back into routine use unnecessarily. An erasure request is assessed against any legal requirement or other lawful reason to retain particular records.

14. International processing and transfers

We deliver orders only within the United Kingdom, but our technology and service providers may process information in other countries. Shopify and connected services use international infrastructure, which can involve processing in the European Economic Area, Canada, the United States or other locations depending on the service.

Where a transfer outside the UK requires additional protection, we use an applicable lawful transfer mechanism, such as UK adequacy regulations or approved contractual safeguards, together with any assessments and supplementary measures required. We do not assume that every overseas destination has identical data protection rules.

You can contact us for more information about the safeguards relevant to your information and, where applicable, how to obtain a copy or explanation. We may redact confidential or unrelated information when providing this material.

15. Automated tools, fraud checks and significant decisions

Our platform, payment providers and security services may use automated tools to identify suspicious transactions, recognise repeated failed payment attempts or help protect the store. These tools can consider transaction details, device information, IP addresses and other risk indicators. Recommendations, analytics and advertising may also use automated analysis to identify patterns or interests.

The safeguards that apply depend on whether a decision is made solely by automated means and whether it produces a legal or similarly significant effect. Where the law gives you rights concerning such a decision, you may request human intervention, express your views and contest the decision. Contact us if you believe an automated process has wrongly affected an order or your access to a service.

If a payment provider makes an independent decision, we can explain the information available to us and direct you to the relevant provider where appropriate. We will provide additional information and safeguards where required for any significant automated decision-making for which we are responsible.

16. Keeping information secure

We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse or disclosure. Measures include limiting access to people and providers who need information for their work and using the security capabilities of our store platform and relevant services.

No internet service or transmission method can be guaranteed completely secure. Please protect your devices and account credentials and tell us promptly if you suspect misuse involving our store. Where a personal data breach occurs, we will assess it and notify the relevant authority and affected individuals when the law requires.

17. Children and young people

Our store is intended for adult customers aged 18 or over. We do not intentionally seek personal information from children or target marketing to them. This statement does not remove any duty to protect children who may access the Site.

If you are a parent or guardian and believe a child has provided information to us, contact us with enough details to identify the relevant interaction. We will investigate and take appropriate steps, including deletion where required and lawful, while avoiding unnecessary further collection about the child.

18. Your data protection rights

Under applicable UK data protection law, you may have the following rights. Some depend on the purpose and lawful basis of the processing:

  • Access: request a copy of your personal information and information about how it is used.
  • Rectification: ask us to correct inaccurate information or complete information that is incomplete.
  • Erasure: ask for deletion where there is no continuing lawful reason to retain the information.
  • Restriction: ask us to limit processing in circumstances provided by law.
  • Portability: receive eligible information you provided in a usable electronic format, or request transfer where legally applicable and technically feasible.
  • Objection: object to relevant processing based on legitimate interests and ask us to explain our response.
  • Withdrawal of consent: withdraw permission for processing based on consent without affecting earlier lawful processing.
  • Automated decisions: exercise applicable safeguards described in Section 15.

You can object to our use of your personal information for direct marketing at any time, including related profiling. We will stop using it for that purpose.

To exercise a right, email support@audiobass.co.uk or use the contact details below. You do not need to use particular legal wording. Please describe your request and provide enough information to help us locate the relevant records.

We may request proportionate verification to protect your information. An authorised representative may contact us, subject to appropriate evidence of authority and identity. Requests are normally handled free of charge and within one month. Where the law allows an extension or another timing adjustment, we will explain it. If we cannot fulfil a request in full, we will explain the applicable reason and your options for challenging the response.

19. Visitors outside the United Kingdom

Our UK-only delivery policy does not prevent visitors in other places from contacting us about their information. If the EU GDPR or another local privacy law applies to a particular processing activity, we will respect the rights and obligations it creates.

For example, California's CCPA/CPRA may provide rights to know or access information, correct or delete it, and opt out of a legally defined sale or sharing where that law applies to the business and the processing concerned. Advertising disclosures can fall within those definitions even without a cash payment. Applicable law may also allow requests through an authorised agent or require recognition of an opt-out preference signal.

These examples do not mean that every foreign privacy law applies to every visitor or that delivery outside the UK is available. Contact us about your circumstances; we will assess the request under the law that applies and will not unlawfully discriminate against you for exercising a privacy right.

20. External websites and services

The Site may link to payment services, delivery tracking, social networks or other websites. If you follow a link or choose a third-party service, review its privacy notice and available controls. This policy explains Audio Bass's activities; it does not replace the notices of organisations that independently control their own processing.

Where third-party content would use optional tracking requiring consent, it must be handled according to the applicable consent rules. A link to another service is not a request for you to disclose unnecessary personal information to it.

21. Privacy questions and complaints

If you are concerned about how we handle information, please email support@audiobass.co.uk with the subject "Privacy complaint", or contact us using the details below. Explain the issue and the outcome you are seeking; an order number can help where the complaint concerns a purchase.

We will acknowledge a data protection complaint within 30 days of receiving it, take appropriate steps to investigate and respond without undue delay. A complaint about information handling and a request to exercise a data protection right may have different applicable deadlines; we will address both where relevant.

You also have the right to raise a concern with the UK's Information Commissioner's Office (ICO). Visit ico.org.uk for current contact details and complaint guidance. If another supervisory authority has jurisdiction over your circumstances, you may also have a right to complain to it. Contacting us does not remove your statutory rights or other legal remedies.

22. Changes to this Privacy Policy

We may update this policy when our services, providers, processing activities or legal obligations change. The latest version will be published on this page with its updated date. Where a change requires additional notice or a new consent, we will provide it through an appropriate method rather than treating continued browsing as consent.
